Managing Your Teams

How do I see my assigned teams?

After logging in, your assigned teams appear on your Coach dashboard. You'll only see teams where you've been assigned as a coach for the current season by your club administrator.

If you don't see a team you expect:

  1. Contact your club or division administrator
  2. Ask them to assign you as a coach for that team in the current season

How do I view my team's roster?

  1. Select your team from the Coach dashboard
  2. Tap "Roster" to see all athletes on the team

The roster shows each athlete's:

  • Name and photo
  • Jersey number (if assigned)
  • Position
  • Cohort/age group
  • Sport age and year in division

Communication

How do I send a message to my team?

  1. Go to your team in the app
  2. Tap the "Message" or "Send Message" button
  3. Compose your message with a subject and body
  4. Tap Send

Messages can include formatted text and will be delivered via email to all recipients.

Who receives my team messages?

Team messages go to all guardians of athletes on your team. If an athlete has multiple guardians (like both parents), each guardian with an active account will receive the message.

Athletes who are linked to user accounts may also receive messages directly, depending on club settings.

Can I send messages to an entire division?

Division-wide messaging is typically reserved for division administrators. If you need to communicate with the entire division:

  1. Contact your division administrator
  2. Ask them to send the message on your behalf, or
  3. Request division messaging permissions

How do I contact an athlete's parents?

  1. Go to your team's roster
  2. Tap on the athlete's name
  3. View the "Family" or "Guardians" section
  4. Tap on a guardian's name to see their contact information

You can email or call guardians directly from this screen.

How do I send weekly updates to families?

Weekly updates help keep guardians informed about upcoming practices, games, and team news:

  1. Go to your team dashboard
  2. Look for "Weekly Updates" or "Send Update"
  3. Use the template to include:
    • Upcoming schedule for the week
    • Any practice or game reminders
    • Team announcements or achievements
    • What to bring or prepare for
  4. Send to all team guardians

Weekly updates are typically sent Sunday evenings or Monday mornings to prepare families for the week ahead.

How do I use team huddles/chat?

Team huddles provide an ongoing communication space for your team:

  1. Go to your team page
  2. Tap "Huddles" or "Team Chat"
  3. Post updates, share photos, or start discussions
  4. Guardians can respond and interact with other families

Huddles are great for:

  • Sharing game photos and highlights
  • Coordinating team events or parties
  • Quick updates between formal messages
  • Building team community

Athlete Notes

How do I add notes about an athlete?

  1. Go to your team's roster
  2. Tap on the athlete's name to open their profile
  3. Find the "Notes" section
  4. Tap "Add Note"
  5. Write your note and save

Notes support rich text formatting, so you can use bold, lists, and other formatting.

Can guardians see my coaching notes?

No. Coaching notes are private and visible only to:

  • Coaches assigned to teams the athlete is on
  • Club administrators
  • Division administrators

Use notes to track development, injuries, behavioral observations, or anything that helps the coaching staff. Guardians cannot access these notes.

What should I use coaching notes for?

Common uses for coaching notes:

  • Tracking skill development and progress
  • Recording injuries or physical limitations
  • Noting behavioral or attitude observations
  • Documenting conversations with guardians
  • Keeping training recommendations
  • Sharing information with other coaches

You can pin important notes so they appear at the top of the athlete's note list.

Creating Polls

How do I create polls for my team?

Polls are great for getting guardian input on team decisions:

  1. Go to your team dashboard
  2. Tap "Create Poll" or look in the communication section
  3. Add your poll question (e.g., "What time works best for Saturday practice?")
  4. Add multiple choice options for guardians to select from
  5. Set whether guardians can select one or multiple options
  6. Choose if responses are anonymous or visible
  7. Set a deadline for responses (optional)
  8. Send to your team

What should I use polls for?

Common poll topics include:

  • Scheduling: Preferred practice times, tournament participation
  • Team logistics: Snack schedule, carpool coordination
  • Team activities: End-of-season party planning, team photo sessions
  • Equipment: Team gear orders, uniform preferences
  • Events: Tournament selection, team dinner locations

How do I see poll results?

  1. Go to your team's polls section
  2. Tap on the poll you created
  3. View real-time results and response rates
  4. See individual responses (not available for anonymous polls — only aggregated counts are visible)
  5. Download results or use them to make team decisions

Roster Builder

What is the Roster Builder for?

The Roster Builder helps you assign athletes to rosters for tournaments and games. You can:

  1. See which athletes have RSVP'd as attending
  2. Create named rosters (e.g., "Team A", "Team B")
  3. Assign athletes to rosters with jersey numbers
  4. Finalize rosters to create official game lineups

RSVPs and Attendance

How do I see RSVP status for an event?

  1. Open the event from your team or division schedule
  2. View the RSVP summary showing counts for each response type
  3. Tap to see the detailed list of responses

The summary shows:

  • Number attending
  • Number not attending
  • Number responded "maybe"
  • Number who haven't responded

What do I do if not enough players are available?

  1. Check which players haven't responded yet
  2. Send a reminder message to your team
  3. Directly contact families who marked "not attending" if you need more players
  4. Consider reaching out to players from other teams if your club allows guest players

How do I manage RSVPs for my team?

  1. Enable RSVP for events you want attendance tracking
  2. Set RSVP deadlines (e.g., 24 hours before the event)
  3. Send RSVP reminder messages for low response rates
  4. Use RSVP data to plan lineup and strategy
  5. Follow up with "maybe" responses closer to event time

Schedule

How do I view the division schedule?

  1. Go to your team or select your division
  2. Look for the "Schedule" tab
  3. You'll see all events for that division

The schedule shows practices, games, and special events. You can filter by event type to focus on games or practices.

Can I create or edit events?

Event creation and editing depends on your role:

  • Coaches: Can typically view schedules but not create events
  • Division Administrators: Can create and edit events for their division

If you need to add or change events, contact your division or club administrator.

Getting Started

How do I accept my coach invitation?

  1. Check your email for an invitation from Rostered
  2. Click the invitation link
  3. Create your account or sign in if you already have one
  4. You'll be connected to your club and teams

If you can't find the invitation, check your spam folder or contact your club administrator to resend it.
