Email Campaigns

Rostered allows club administrators to send email communications to families, coaches, and staff through the admin dashboard.

Sending Emails

From the Admin Dashboard

  1. Navigate to Communications in the admin sidebar
  2. Select your target audience (all families, specific teams, divisions, etc.)
  3. Compose your email with a clear subject line and message
  4. Preview the email before sending
  5. Send immediately or schedule for later

Email Best Practices

Subject Lines:

  • Keep under 50 characters for mobile readability
  • Use clear, descriptive language
  • Include the club name or team for recognition

Content:

  • Lead with the most important information
  • Keep messages concise and scannable
  • Include clear calls-to-action (RSVP links, registration deadlines, etc.)
  • Use a consistent, friendly tone

Timing:

  • Avoid early mornings and late evenings
  • Send registration reminders well before deadlines
  • Space out communications to avoid inbox fatigue

Common Campaign Types

  • Season announcements — Registration opening, schedule release
  • Event reminders — Tournaments, social events, fundraisers
  • Policy updates — Important club news and changes
  • Weekly updates — Regular club communications (see also Composing Weekly Updates)

Delivery and Troubleshooting

Rostered uses a dedicated email delivery service for reliable delivery. If families report not receiving emails:

  • Check that their email address is correct in their profile
  • Ask them to check spam/junk folders
  • Have them add your club's sending address to their contacts
  • Verify the family's notification preferences haven't disabled email

Tips

  • Segment your audience — Don't send team-specific news to the whole club
  • Be consistent — Regular communication builds trust and engagement
  • Respect inboxes — Quality over quantity
  • Include unsubscribe options — Required by law (CAN-SPAM, GDPR)
