Managing RSVPs

Track attendance for practices, games, and tournaments by managing RSVPs for your team events.

Viewing RSVP Status

  1. Open a schedule item (practice, game, or tournament) from your team view
  2. View the RSVP summary showing counts for each response type:
    • Attending — confirmed for the event
    • Maybe — tentative
    • Not Attending — declined
    • No Response — haven't replied yet

How RSVPs Work

Invitation Flow

When an event is created with RSVPs enabled:

  1. Athletes on the team roster receive RSVP invitations
  2. Guardians respond on behalf of their athletes
  3. Responses appear in real-time on the event detail screen
  4. RSVP deadline reminders are sent automatically (10 days, 5 days, and 2 days before the deadline)

Response Types

Athletes can respond with:

  • Attending — will be at the event
  • Maybe — unsure, will confirm later
  • Not Attending — cannot make it

Guardians can update their response at any time before the event.

Multi-Day Events

For tournaments and multi-day events, guardians can respond per day — attending some days but not others. Each day tracks responses independently.

RSVP Deadlines

Events can have an RSVP deadline set before the event start time. After the deadline:

  • Guardians can still update their response
  • Automated reminders stop sending

Tracking Attendance

Use RSVP data to:

  • See who's coming before game day
  • Identify athletes who haven't responded (follow up directly)
  • Plan lineups based on confirmed attendance
  • Use the Roster Builder to assign confirmed athletes to game rosters

Tips

  • Set RSVP deadlines far enough in advance to plan (the system sends reminders at 10, 5, and 2 days before deadline)
  • Check the "No Response" list and follow up with those families directly
  • For tournaments, remind families to respond for each day separately
